1 Introduction
These Terms and Conditions ("Terms") govern your use of the Adult Day Centre website at www.adultdaycentre.org.uk (the "Website") and the day care services provided by Adult Day Centre ("we", "us", "our", or "the Centre").
By using this Website, booking a place, or using our services, you ("you", "the User", or "the individual") agree to these Terms. If you do not agree with any part of these Terms, please do not use our Website or services.
These Terms apply to individuals attending our centre, their families, carers, representatives, visitors, and anyone using this Website.
2 Definitions: Key Terms Explained

3 Use of Our Website
You agree to use this Website only for lawful purposes. You must not:
- Use the Website in any way that breaches UK laws or regulations;
- Attempt to gain unauthorised access to any part of the Website, the Portal, or connected systems;
- Introduce viruses, malware, or other harmful code;
- Scrape, copy, or reproduce Website content without our written permission;
- Use the Website to harass, abuse, or harm anyone associated with Adult Day Centre.
We may suspend or remove access to the Website and Portal if these Terms are breached.
4 Our Day Care Services
Adult Day Centre provides daytime care, social activities, companionship, and personal support for adults who benefit from extra support and social interaction. Our services include:

Refreshments and door-to-door transport
The specific services provided to each individual will be detailed in their Care Plan. We may adjust, add, or withdraw specific activities depending on availability, staffing, and the needs of individuals.
5 Joining Adult Day Centre: Eligibility & Enrolment
Attending Adult Day Centre is subject to:
- An initial assessment to confirm our services are suitable for the individual's needs;
- Completion of an enrolment form with accurate details about the individual's health, mobility, dietary requirements, and support needs;
- Agreement of a Care Plan between the Centre, the individual (and/or their Representative), and relevant healthcare professionals;
- Confirmation that the Centre can safely and effectively meet the individual's needs.
We may decline or end enrolment if we cannot safely meet an individual's needs, or if information provided during enrolment is inaccurate or incomplete.
6 Fees & Payment Terms
Fees for attendance and services are set out in our current fee schedule, available on request.
- Fees must be paid in advance unless agreed otherwise in writing;
- Payments can be made by bank transfer, cheque, or through the online Portal;
- Invoices are issued on a forth-nightly basis;
- Overdue payments may lead to a temporary pause in services until the account is paid;
- If services are funded in whole or part by Staffordshire County Council, the official funding agreement takes priority where applicable.
We review our fees periodically and will write to inform you at least 30 days before any fee changes take effect.
7 Attendance, Absence & Cancellations
Regular attendance helps individuals get the most from our services. If an individual cannot attend on a planned day, please let the Centre know as soon as possible.
- Cancellations made with more than 24 hours' notice will not be charged;
- Cancellations made with less than 24 hours' notice may be charged at the standard daily rate;
- Transport cancellations should be made as early as possible to avoid unnecessary journeys;
- Unexplained absence lasting more than 4 consecutive weeks may result in the individual's place being offered to someone on the waiting list.
If severe weather or unexpected circumstances require us to close or adjust opening hours, we will contact all affected individuals and Representatives as quickly as possible.
8 Personal Care, Health & Medical Needs
Personal care is delivered following each individual's Care Plan. To help us provide safe care:
- Please inform us immediately of any changes to the individual's health, medication, mobility, or care needs;
- Medication must be supplied in its original packaging with clear labelling and dosage instructions;
- The Centre is not a nursing facility and cannot provide clinical care. Individuals who require ongoing medical supervision may be directed to a healthcare provider better suited to their needs;
- In a medical emergency, we will contact emergency services and the named emergency contact. Trained staff will provide appropriate first aid;
- Individuals and Representatives must tell us about any infectious illnesses so we can protect everyone at the Centre.
9 Your Account & Online Portal
Registered users can access the online Portal to view bookings, care notes, invoices, and messages. You are responsible for:
- Keeping your login details confidential and secure;
- All activity taking place under your account;
- Notifying us immediately if you suspect unauthorised access to your account.
We cannot be held responsible for losses resulting from unauthorised account access if reasonable steps were not taken to secure your login details.
10 Privacy & Protecting Your Personal Data
We protect your personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Our Privacy Policy explains how we collect, use, store, and protect your information.
By using our services, you agree to how we handle personal data as described in our Privacy Policy. Individuals and Representatives have the right to:
- See the personal information we hold about them;
- Ask us to correct inaccurate information;
- Request deletion of data where permitted by law;
- Make a complaint to the Information Commissioner's Office (ICO) if they believe personal data has not been managed correctly.

Key changes affecting individuals currently attending our centre will be communicated in writing or by email where possible. Continuing to use our Website or services after updates take effect means you accept the revised Terms.
16 Complaints & Feedback
We aim to provide high-quality care and welcome your feedback. If you have a concern or complaint, please contact us using the details in Section 18. We promise to:
- Acknowledge your complaint within 3 working days;
- Send a full written response within 28 days, detailing any action taken;
- Handle all complaints confidentially and fairly.
If you are not satisfied with our response, you can escalate your concern to the Staffordshire County Council Adult Safeguarding Team (0345 604 2719) or the Care Quality Commission (CQC).
17 Legal Jurisdiction & Governing Law
These Terms are governed by English law. Any disputes or claims relating to these Terms or our services fall under the exclusive jurisdiction of the courts of England and Wales.
